Full-Time in United States - Entry Level - Greater Columbus Sports Commission

Administrative Assistant (Greater Columbus Sports Commission)

Reports To: Talent & Culture Manager

Status: Full Time (40+ hours)

FLSA: Non-Exempt

Location: Columbus (hybrid work from home and Arena district office)

Travel: 10% locally to offsite meetings and events within Columbus

Overview:

As an Administrative Assistant with the Greater Columbus Sports Commission, you will provide support to the Sports Commission staff with the majority of support given to the Partnership department. Support for other departments will vary based on their needs throughout the year.

By joining the Sports Commission, you will be part of a team that makes sporting events successful in the city of Columbus. We bring sports events, fans and participants to Columbus and we've been doing it since 2002. We do it to improve the quality of life of people that call Columbus home. We do it to raise the profile of Columbus as a sports city. We do it to impact the people and economy in Central Ohio. Most of all we do it for the love of the game.

The Greater Columbus Sports Commission is an LLC of Experience Columbus, a 501(c)(6), and also oversees the Greater Columbus Sports Foundation, a 501(c)(3), and operates with its own board of commissioners, budget, brand, office, web, and media presence, fundraising and other elements.


The Work you will do:

  • Prepare and process invoices
  • Purchase and arrange delivery of gifts to prospective clients and guests
  • Assist with special projects as assigned
  • Assist with preparing meeting documents for various meetings including leadership and board meetings
  • Preparing and submitting expense reports
  • Enter data in a CRM (Customer Relationship Management) system and maintain accurate client information, updates, changes, run reports
  • Work with Microsoft Office products (Word, Excel, Power Point, Outlook) proficiently
  • General team needs, ordering event supplies, scanning/printing documents organizing files, mailings and arrange shipment of materials
  • Assist with general office management needs including welcoming guests, coordinating with building contacts and maintaining a safe and efficient workspace
  • Demonstrate a commitment to Diversity, Equity, and Inclusion by ensuring the inclusivity and accessibility of events and services
  • Other administrative duties as assigned
  • Prepare travel arrangements and itineraries
  • Attend Experience Columbus or Sports Commission community and industry functions
    • Some events may require evening or weekends (notice is provided)

  • Experience in the following areas below (either through education, work experience or a combination of both)
    • Prior administrative work experience in a small team office setting or environment
    • Working independently on projects or tasks and within a team
    • Greeting and welcoming others to an event or location
    • Situation and roles requiring discretion, tact, judgment, and poise
  • Ability to take direction from others, ask questions when needed, and apply feedback
  • Team player, focused on strong relationships built on respect, trust and sharing of knowledge
  • An excellent communicator (written and verbally)
  • Ability to prioritize and run multiple projects in a fast pace, dynamic environment
  • Highly organized in daily tasks as well as physical space and electronic filing.
  • Well-developed time management skills with an ability to consistently meet deadlines.
  • Ability to anticipate needs, develop solutions and overcome obstacles with minimal direction
  • Demonstrates flexibility, resilience, and a willingness to learn
  • Passionate about the product (Columbus and Sports) and motivated to exceed expectations
  • The organization requires all employees to obtain and maintain the Experience Columbus Insider (ECI) accreditation
