To be successful in this role, you will be an excellent communicator who is proactive and invigorated by learning and problem-solving in a fast-paced office. You will be responsible for executive-level support and interactions ensuring well-organized, efficient, and effective office and administrative processes and procedures.
The essential functions of this role are:
- Providing executive level administrative support (specifically to the CEO and COO), including schedule management, screening and prioritizing incoming communications, assisting with document preparation and research
- Manage board, committee and other key stakeholder meetings by coordinating logistics and materials, managing RSVPs, and taking minutes
- Work as part of the ArtsWave phone support team and a first point of contact for groups interested in using ArtsWave’s meeting space
- Work across the organization to book speakers and artists for campaign events and meetings
- Collaborating with cross-functional teams on special projects
The skills and experience required for this role include:
- Excellent organizational and time management skills with the ability to prioritize tasks, meet deadlines, and reasonably adapt in a fast-paced, dynamic environment
- Highly proficient in Microsoft Office suite and other relevant software applications
- Ability to maintain confidentiality and exercise discretion in handling sensitive information; high level of integrity, discretion, and a passion for the organization’s mission and vision
- Passion for the arts and a commitment to advocating for diversity, equity, and inclusion in all aspects of the organization’s work
- A minimum of 5 years of experience as an executive assistant or in a similar role, preferably within a nonprofit organization

This is a full-time, exempt position that reports to the COO. ArtsWave has a hybrid policy in place with a work schedule that will normally be Monday through Friday and includes occasional weekend or evening events/meetings. Per the hybrid policy, employees are eligible for remote work after successful completion of their first 90 days. This role requires occasional travel to other locations and attendance at meetings and events.
ArtsWave offers competitive compensation and benefits, including medical, dental and vision insurance, 401(k) retirement savings plan with up to 7% employer match, paid time off, and paid parking.
The starting salary range for the position is $53,000 - $63,000 annually, commensurate with experience.
